Customer and supplier reports
The customer and supplier reports show who owes you money and who you owe. They read the invoices, bills, payments, advances and delivery notes you posted on other screens. They post nothing to your accounts. The Overview cards Owed to you and You owe show the same money in short form (see the Overview).

What it’s for
Section titled “What it’s for”Eight reports sit in the Customers and Suppliers groups of Change report. Each one answers a different question about the same money.
| Report | The question it answers |
|---|---|
| Customer dues by age | Which customer invoices are still unpaid, and how overdue is each? |
| Customers who owe you | How much does each customer owe now, after their advance is taken off? |
| Customer advances | Which customers have paid money ahead that is not used yet? |
| Suppliers you owe | How much do you owe each supplier now, after any money you paid ahead? |
| Supplier dues by age | Which supplier bills and purchases are still unpaid, and how overdue is each? |
| Supplier advances | Which suppliers owe you money, because you paid or returned more than you owed? |
| Overdue customers | Which customer invoices are past their due date? |
| Overdue suppliers | Which supplier documents are past their due date? |
- Every report is a position on one day. You choose that day in As of. Nothing here covers a period.
- Each customer or supplier name opens that party’s statement, so you can see how a balance was reached.
- Each report can be printed or saved as a CSV file.
- Overdue customers and Overdue suppliers list the documents past their due date. Nothing is sent or paid from these lists. They are described in Day book and daily reports.
- No report here shows a credit limit. A credit limit only gives a warning when you sell. See Customers. The Customers who owe you list shows a Credit hold badge beside a customer on hold.
Fields
Section titled “Fields”Choosing the day
Section titled “Choosing the day”At the top of each report, above the figures:
| Field | What it means | What it changes |
|---|---|---|
| Change report | Opens a searchable list of reports, grouped by subject | Shows another report |
| As of | The day the report describes | Everything is worked out as it stood at the end of that day |
| Apply | Press it after typing a day | Reads the report again for that day |
| Today | A quick button | Goes back to today |
| Previous day and Next day | Arrows beside the day | Step one day at a time. Next day is greyed out once you reach today |
A badge beside the controls tells you how much of the books you see, for example Full accounting or Operational.
- Choose today or an earlier day. The two list reports refuse a day after today. See What the app blocks.
- A report for an earlier day is worked out from your records as they are today. If you later edit or delete a posted document, an earlier day’s figures change with it.
- Only posted documents count. Drafts are left out.
Age buckets
Section titled “Age buckets”The two “dues by age” reports sort every unpaid amount into five buckets. The age is how many days the due date is before the As of day.
| Bucket | A document belongs here when |
|---|---|
| Current | It is due on the As of day or later |
| 1-30 days | It was due 1 to 30 days before the As of day |
| 31-60 days | It was due 31 to 60 days before |
| 61-90 days | It was due 61 to 90 days before |
| 91+ days | It was due 91 or more days before |
For example, with As of 28 Aug 2026, an invoice due 28 Aug is Current. One due 27 Aug is in 1-30 days. One due 29 Jul is still 1-30 days, and one due 28 Jul is in 31-60 days.
Cheques change the age. A post-dated cheque you hold from a customer, or issued to a supplier, can cover part of a document. That part is aged on the cheque date. The rest is aged on the document’s own due date. The document is still counted once, and the total owed does not change. If the cheque is cancelled, the part goes back to the due date.
Customer dues by age and Supplier dues by age
Section titled “Customer dues by age and Supplier dues by age”Above the table, a row of totals shows each bucket for the whole business and Total outstanding. Below it, one row per customer or supplier, in code order:
| Column | What it shows |
|---|---|
| Customer or Supplier | The name, with the code under it and an Archived badge for an archived party. The name opens the open documents |
| Open invoices or Open bills | How many documents still have something unpaid |
| Oldest due | The earliest due date among them |
| Current to 91+ days | What is unpaid in each bucket |
| Outstanding | The party’s total of the five buckets |
Click a name to open a panel beside the table with that party’s unpaid documents. A panel shows:
| Column | What it shows |
|---|---|
| Document | The number, which opens the invoice, purchase or bill. Under it: the date, the reference, or the supplier’s invoice number. An opening balance has no number to open. It reads Opening balance owed for a customer or Opening supplier balance for a supplier |
| Due | The due date, then how old it is, such as “31-60 days · 35 days past due” or “Current · not past due”. When a cheque moved the date, the document’s own due date is shown too |
| Original | The amount when it was posted |
| Credit notes and Receipts applied (customers) or Paid or applied (suppliers) | What was taken off it up to the As of day |
| Outstanding | What is still unpaid. For a cheque part, “of ‹total›” shows the whole document’s balance |
A document paid in part by a cheque has one line for the cheque part and one for the rest. The first says “Paid by cheque ‹number›, due ‹date›”. The second says Balance not covered by a cheque.
The panel has its own Print… button for that one party.
Delivered, not yet invoiced (customers)
Section titled “Delivered, not yet invoiced (customers)”Goods you delivered to a customer and have not invoiced are owed too. They have no due date, so they cannot be aged. On Customer dues by age they are shown apart from the buckets:
- A total Delivered, not yet invoiced appears beside Total outstanding. It is never added into it.
- A section of the same name lists each delivery note: the customer, the delivery note number, Delivered on and Amount. The number opens the delivery note. The customer’s name opens their statement.
- The section says the amount has no due date, so it is not in the age columns.
- When you invoice a delivery note, the amount leaves this section and enters the age columns on the invoice’s due date. See Deliveries.
- The section does not appear when no delivery note is waiting.
The delivery notes are always read as they stand today. When you choose an earlier day, only notes dated up to that day are listed, and the section says “Delivery notes are shown as they stand today, up to ‹date›.”
Customers who owe you and Suppliers you owe
Section titled “Customers who owe you and Suppliers you owe”These two lists show a balance for every party with a name, code and status. Controls above the list:
| Field | What it means | What it changes |
|---|---|---|
| Search customers or Search suppliers | Part of a code or name, up to 120 characters | Lists only matching parties. The list updates a moment after you stop typing |
| Hide zero balances | Ticked at first | Leaves out parties that owe nothing and hold no advance. A party with an open cheque, or a customer with delivery notes waiting, is never left out |
| Include inactive | Not ticked at first | Matters only when Hide zero balances is off. Then it adds archived parties that have nothing to show. An archived party with a balance always appears |
| Overdue columns | Not ticked at first | Adds the Overdue and Overdue documents columns |
| Cheque columns | Not ticked at first | Adds Open cheques and Open cheques (count). These are cheques received or issued that have not cleared by the As of day |
The columns are:
| Column | What it shows |
|---|---|
| Code and the name | The name opens the statement. Badges: Inactive and, for customers, Credit hold |
| Owed to you (customers) or You owe (suppliers) | What is owed, after that party’s advance is taken off. The Overview card with the same name does not take advances off. See how each report treats advances |
| Advances (customers) or Supplier advance (suppliers) | What is left in the party’s favour when the advance is bigger than what is owed |
| Net balance | Owed less advance. A negative number means the party holds more than they owe |
| Open documents | How many documents are still unpaid |
| Delivered, not yet invoiced (customers only) | Delivery notes waiting for an invoice. It is owed on top of Owed to you, and is not in Net balance |
| Overdue, Overdue documents, Open cheques, Open cheques (count) | Only when you tick the matching option |
Above the list, totals add up every party that matches your filters, not only the page you see. The list shows 10 parties a page. You can choose 10, 25 or 50.
Customer advances and Supplier advances
Section titled “Customer advances and Supplier advances”Each report is one list of parties with a Status (Active or Archived), an amount, and a Statement link. Above the list: the total and the number of parties.
- Customer advances shows Advance balance: money a customer paid ahead that is not used on an invoice yet. This is the Customer Deposits account (2300). To use or pay back an advance, see Customers.
- Supplier advances shows Supplier advance: the amount a supplier owes you, because their bills and purchases add up to below zero. This happens, for example, when you return goods you had already paid for.

Statuses you will see: Reconciled or Review required on the dues-by-age reports and Customer advances. Reconciled or Difference on the two lists. See Does it match your books?.
Print and CSV
Section titled “Print and CSV”- Print… and Export CSV cover every row that matches your filters, not only the rows on screen. They show a message when done: “‹report› print view opened” or “‹report› CSV downloaded”.
- The file names are
aged-receivables-‹date›.csv,aged-payables-‹date›.csv,customer-advances-‹date›.csv,supplier-credits-‹date›.csv,debtors-list-‹date›.csvandcreditors-list-‹date›.csv. - Amounts in a CSV file are numbers, so a spreadsheet can add them up. A negative difference stays negative.
- The aged receivables file has a row for each invoice, one for each bucket, the receivables total and the reconciliation. Delivery notes have their own row type, Delivered, not invoiced, so a sum over invoice rows still equals the receivables total.
- In the two lists, the print and CSV say “PDC” where the screen says “open cheques”. The CSV calls the amount owed Receivable or Payable.
- A person who is not allowed to print or export does not see the button. See Who can do it.
What gets posted
Section titled “What gets posted”Nothing. These reports read your records. Choosing a day, searching, opening a statement, printing and exporting change no account, no stock and no VAT.
How each report treats advances and delivered goods
Section titled “How each report treats advances and delivered goods”The same money is shown differently on purpose. Use this table to see why two reports show different numbers for the same party.
| Report | A customer’s advance | Goods delivered, not yet invoiced | A supplier advance you paid ahead (1250) | A supplier who owes you after a return |
|---|---|---|---|---|
| Customer dues by age | Not shown here. Never taken off the invoices | Beside the total, not in it | Not applicable | Not applicable |
| Overview card Owed to you | Never taken off the invoices | Beside the number, not in it | Not applicable | Not applicable |
| Customer advances | Listed by itself, never taken off what the customer owes | Not shown | Not applicable | Not applicable |
| Customers who owe you | Taken off what the customer owes. Any extra shows as Advances | Own column, not in Net balance | Not applicable | Not applicable |
| Supplier dues by age | Not applicable | Not applicable | Not shown | Not shown. Only bills with something unpaid are listed |
| Supplier advances | Not applicable | Not applicable | Not shown | Listed here |
| Suppliers you owe | Not applicable | Not applicable | Taken off what you owe. Any extra shows as Supplier advance | Shown as Supplier advance |
| Overview card You owe | Not applicable | Not applicable | Not taken off | Taken off. The card shows “outstanding” less “credits” |
Does it match your books?
Section titled “Does it match your books?”Each report adds up its own parties and compares the total with the matching account. The result is the badge at the top. Open Accounting details under the heading to see the figures. This is for your accountant, who can open the account in the Account ledger. See Financial statements.
| Report | Compared with | Badge |
|---|---|---|
| Customer dues by age | Accounts Receivable (1100), and Unbilled Receivables (1150) for delivery notes | Reconciled or Review required |
| Customer advances | Customer Deposits (2300) | Reconciled or Review required |
| Customers who owe you | Accounts Receivable (1100) and Customer Deposits (2300), each on its own line | Reconciled or Difference |
| Supplier dues by age | Accounts Payable (2000) | Reconciled or Review required |
| Suppliers you owe | Accounts Payable (2000) and Supplier Advances (1250), each on its own line | Reconciled or Difference |
| Supplier advances | Not compared | None |
- The delivery notes are compared with Unbilled Receivables only when the As of day is today or later. For an earlier day the notes are read as they stand today, so the comparison would not be fair. It is skipped.
- On the two lists, the comparison always uses every party. Your search and Hide zero balances never hide a difference.
- A difference is not fixed on the report. Tell your accountant. They compare the party balances with the books.
Where it shows up
Section titled “Where it shows up”| Place | What changes |
|---|---|
| Payments received | A payment lowers the invoice’s open amount, so it leaves the aged buckets. A customer advance appears under Customer advances |
| Supplier payments | A payment lowers the bill’s open amount. Money paid ahead lowers You owe on Suppliers you owe |
| Deliveries | A delivery appears under Delivered, not yet invoiced until it is invoiced |
| Customers and Suppliers | The customer and supplier pages and statements show the same balances. Their statements agree with these reports on the same day |
| Overview | The cards Owed to you and You owe are worked out from the same invoices and bills as Customer dues by age and Supplier dues by age. Neither card takes an unused advance off. Goods delivered and not yet invoiced are shown beside what customers owe, not inside it |
| Day book | Every invoice, bill and payment behind these balances is listed there under its own date |

Notices that do not stop you
Section titled “Notices that do not stop you”- Balances do not match the books. A yellow box says These balances do not match the books. Open Accounting details below to compare them. On the two lists it names the account and the amount of the difference.
- Past day. On Customer dues by age, a line says the delivery notes are shown as they stand today.

Fixing a mistake
Section titled “Fixing a mistake”- A report says Review required or Difference. The report cannot fix this. Tell your accountant. They compare the party balances with the books.
- A customer shows as owing, but they paid. Record the payment in Payments received. The invoice leaves the buckets from its payment date. If the customer paid ahead, it shows under Customer advances.
- An amount is on the customer’s page but not in the age buckets. Look at Delivered, not yet invoiced. It is owed but is not aged. Invoice the delivery. See Deliveries.
- Suppliers you owe shows less than Supplier dues by age. You paid that supplier ahead. The list takes the advance off. Open the supplier’s statement to follow it. See Supplier payments.
- A supplier shows on Supplier advances, but you do not remember paying ahead. The supplier’s balance is below zero, for example after a return of goods you had paid for. See Suppliers and Returns.
- A wrong invoice or bill makes the figure wrong. Fix the document, not the report. Edit it, or raise a credit note. See Invoices.
- A past day’s figures changed. A posted document was edited or deleted after that day. Reports for a past day are worked out from your records as they are today.
- You do not see a report, or the Print… and Export CSV buttons. Your role does not include it. Ask your administrator.
