Tailoring production

Production is where the workshop follows each Kandura from a confirmed order to Ready. You move a Kandura from step to step, give it to a tailor, and record the quality check (QC). Nothing on these screens posts to your accounts. No fabric leaves stock, and no tailor pay is posted. Fabric leaves stock at the hand-over. Tailor pay reaches your books only when you enter it in a pay run by hand. Getting started and setup explains the words used here.

Who
Managers and admins move work and see tailor pay. Cashiers can look. Only admins set up the workshop
  • See every Kandura that is still in the workshop, in one column for each step, with the most urgent first.
  • Move a Kandura on when a step is done, and say who did the work.
  • Give a Kandura to a tailor, and give it to another tailor if the first one cannot finish it.
  • Record the quality check: pass the Kandura, or send it back for rework with the reason.
  • Scan the tag on a Kandura at the bench, on a tablet or with a handheld scanner.
  • Open a Kandura’s own page (press its tag) to see its measurements as they were when the order was confirmed, its model and fabric, every step, every QC check, and who had it.
  • Work out what each tailor has earned in a month, and send the tailor’s statement to the pay run.

The tailors, cutters, finishers and checkers are your payroll employees. An administrator adds each one in Setup, under Workshop, with a role. A person can work in more than one role, but only once in each.

Every Kandura gets its place on the board the moment its order is confirmed. It then passes these steps in this order.

Step on the board What waits to be done Button Who is named
To cut The cloth is waiting for a cutter Start cutting A cutter
Cutting The cutter is cutting Cutting done The cutter. You also enter the yards actually cut
To assign Cutting is done and nobody has the Kandura yet Assign tailor The tailor who will stitch it
Stitching The tailor is stitching Stitching done The tailor it was given to. Nobody is asked
Finishing Buttons, pressing and trims Finishing done A finisher
QC Waiting for the quality check QC check A QC inspector
Ready Nothing more to do in the workshop None here. Hand it over from Ready to collect None
  • A Kandura at Ready is out of the workshop’s hands. After it is handed over it leaves the board.
  • A Kandura that the customer cancelled before work started shows no more on the board.
  • An administrator can switch Cutting, Finishing and Quality check off in Setup › Workshop. A step that is off is skipped. If cutting is off, a new Kandura starts at To assign.
  • A Kandura that is already in a step when you switch it off just moves on. Its button says Move on and asks for nobody.
  • A Kandura confirmed with “measure after payment” shows a violet Waits for measurements mark. It cannot be cut or given to a tailor until its measurements are taken. See Orders.

The board shows one column for each step you use, and a card for each Kandura. It lists at most 200 Kanduras, rush first and then the earliest ready-by day.

Field What it means What it changes
Search A tag code, an order number, or the name of the person or customer Lists only matching Kanduras, a moment after you stop typing
Tailor All tailors, No tailor yet, or one tailor Lists the Kanduras that tailor holds now
Ready by All, Late (past the ready-by day) or Due today Lists only those Kanduras
Rush only A switch Lists only rush Kanduras
Clear filters Shown only while a filter is on Removes all filters

Each card shows the tag code, the person it is for, the order number, the model, length and fabric (or “Customer’s own fabric”), the ready-by day and the tailor. A line under the board says, for example, “12 Kanduras in the workshop · 3 late · 2 rush”.

Marks you will see: Rush, Rework (QC sent it back and it is not yet Ready), Waits for measurements, and “3 days late” in red.

The same dialogs open from the board, the Workshop scan, the Tailors screen and the Kandura page.

Field What it means What it changes
Who is cutting it? / Who cut it? / Who finished it? Choose a person who works in that role. The app chooses for you the person who last worked on it, or the only person in that role Names the worker on the step in the history
Yards actually cut The cloth the cutter really used, up to 50 yards and 4 decimals, such as 3.75 Kept in the history and shown on the Kandura page, beside the yards the price was worked from. The Fabric report compares the two. It does not change the price or the stock. See Reports
Choose the tailor Tailors you can choose, with their grade (and, on the Tailors screen, how many Kanduras each is stitching). The tailor who holds the Kandura now shows “Has it now” and cannot be chosen again Who the Kandura is with, and who earns the pay
Why is it being moved? Only when you give a Kandura to another tailor. 3 to 300 characters Kept in the history
Who is checking it? Choose a QC inspector Names the inspector on the check
Checklist Fit, Length, Collar, Cuff, Pocket, Stitching, Buttons, Clean and pressed. All start as fine A pass needs every check fine. A failure lists the ones marked wrong
Result Pass or Fail Sends the Kandura on, or back
What is wrong? Only for Fail. 3 to 300 characters Shown on the card and in the QC history while it is redone
Who must fix it? Only for Fail, and only if you use finishing: Stitching or Finishing Where the Kandura goes back to

When you give a Kandura to a tailor, people who may see tailor pay also see a note with the pay: “Tailor pay for this model and length today: ‹amount›. It is frozen when you confirm.”

Field What it means What it changes
Kandura code Scan the tag with a handheld scanner, or type the code. Stars and spaces are ignored Finds the Kandura and shows its card

The card shows the tag, the step, the person, the order, the ready-by day, the tailor, and a big button for the next step. The Last scans list keeps the last five steps done on this screen.

Tailoring › Tailors. It lists the Kanduras that wait for a tailor, then a card for each tailor with their grade, the Kanduras they are stitching and how many are late. A person appears here once an administrator adds them in Setup with the role Tailor. People who may read reports also see Done this month. People who may see tailor pay also see Earned this month and a Statement button. Reassign on a card gives a Kandura to another tailor.

Field What it means What it changes
Month The running month and the six before it Shows what the tailor earned in that month

The table lists Date done, Kandura, For, Model, Length and Rate (frozen), with the total under it.

Send to the pay run A finished month with something earned, not yet sent Keeps the statement under a number such as PW-000001. You then enter the total in the pay run yourself Nothing posted
Void statement A statement that was sent Marks it as voided with your reason, so the month can be sent again Nothing posted
Print view and Print A tailor’s statement Shows the statement as a sheet and opens the browser’s print window No change

People who may only look see no step buttons. On the Workshop scan they read: “You can look at this Kandura, but your role cannot take its next step.”

Statuses you will see: To cut, Cutting, To assign, Stitching, Finishing, QC, Ready, Delivered and Cancelled. A statement is shown as “Sent as PW-000001”, or voided in the list Voided statements.

After a step, a short message says what happened, for example “‹tag› moved to Cutting.” or “QC failed: ‹tag› sent back to stitching for rework.” If you press twice, or the answer was lost and you try again, the app does the step once and says “That step was already recorded for ‹tag›. Nothing changed.”

Nothing. Moving a Kandura through the workshop writes no journal entry. It does not touch Cash, Accounts Receivable, Inventory, Cost of Goods Sold, Payroll Expense or any VAT figure. Three things people often expect are worth saying clearly.

You might expect What really happens
Fabric is taken out of stock when cutting starts or when the cutter enters the yards It is not. The Yards actually cut are a note in the history. Stock leaves only when the Kandura is handed over. That invoice takes the cloth from the Fabric store you choose in Setup › Workshop, in the yards the order was priced with. See Collection and reports
A cost is booked as cutting or stitching is done It is not. The tailor pay and the fabric cost appear only as figures in the order’s cost and profit panel, for people who may see costs. The cost of the stock is booked when the Kandura is handed over
The tailor’s pay is posted to payroll or to an expense or payable account It is not. The pay is kept as a record and on the tailor’s statement. You enter the statement total in the pay run by hand

Each of these is a record. None is an accounting entry.

Record Made when Can it change?
A step in the Kandura’s history Every move, with the person who did it and the time No. It is never edited or removed
An assignment with the tailor pay A Kandura is given to a tailor It is closed when the Kandura goes to another tailor. It is never rewritten
A QC check Every pass or failure No. Every attempt stays
Pay earned Once for each Kandura, at the point your setting names No
A piece-work statement You press Send to the pay run No. It can only be voided

The pay for a Kandura comes from the tailor pay chart in Setup › Price charts. A rule for the model beats a rule for every model, and the rule that started latest beats an earlier one.

  1. It is frozen when the Kandura is given to a tailor. Later changes to the chart do not touch it.
  2. It is earned once. Your setting A tailor earns the pay chooses the point: When stitching is done, or When the garment passes QC. A Kandura that reaches Ready without having earned its pay earns it then, so none is left unpaid.
  3. Rework is never paid twice. If QC sends a Kandura back and it is redone, the earning stays as it was.
  4. It belongs to the tailor who holds the Kandura at that point. If you give the Kandura to another tailor before the pay is earned, today’s chart is frozen again. After the pay is earned, the new tailor holds the same pay and earns nothing more.

Example, with a chart that pays AED 40.00 for this model and length:

What happens Pay of the Kandura
You give it to a tailor Frozen at AED 40.00
The chart is raised to AED 45.00 Still AED 40.00. The next Kandura you give out is frozen at AED 45.00
Stitching is done AED 40.00 earned, by the tailor who holds it
QC fails it twice and it is redone Still one earning of AED 40.00
Before stitching is done, you give it to another tailor Frozen again at today’s chart, AED 45.00. The dialog warns you first

A statement lists what one tailor earned in one finished month. It adds up the Kanduras whose pay was earned on a day in that month, in your company’s time zone. For example, 3 Kanduras at AED 40.00 make a statement of AED 120.00, numbered PW-000001. Numbers run in order, with no gaps, and are never used twice.

  • You can send a month only after it has ended. Until then the screen says the tailor can still earn more.
  • A month with nothing earned cannot be sent.
  • Sending the same tailor and month again shows the statement already sent.
  • Nothing is posted. LedgerLite payroll cannot take piece work yet.
  • Enter the total in that month’s pay run. In the line of that tailor, put the total in Adjustment and the statement number in Reason if non-zero. Do this while the run is still a draft.
  • A tailor appears in a pay run only if the employee has a salary in effect. See Pay runs and Employees.
Place What changes
Production board, Workshop scan and the Kandura page The step, the person, the history, the QC checks and the yards cut. People who may see tailor pay also see the pay frozen, today’s chart and what was earned
Ready to collect An order appears there as soon as one of its Kanduras is Ready
The order’s cost and profit Uses the pay frozen for a Kandura once a tailor has it, and today’s chart before that (people who may see costs)
An order that changes its ready-by day Every Kandura of the order follows the new day on the board. See Orders
Tailors screen Who holds what. Done this month and Earned this month come from the Earnings report
Pay run Only what you enter by hand from a statement
Journal, stock reports, VAT and the balance sheet Nothing from production

The app checks before it saves, so a refused step leaves nothing half done. Beside a person, a field or a button, you see:

Voiding with a reason that is too short or too long Write a short reason of 3 to 300 characters.
Anything else goes wrong while saving This could not be saved safely. Nothing was changed. Reload the garment and try again.

The camera on the Workshop scan can fail without stopping the screen. It says in words why, for example “The camera works only on a secure (https) connection, and this one is not. Type the code, or use a handheld scanner.” The code box always still works.

  • When you give a Kandura to another tailor before its pay is earned, the dialog says “Giving it to another tailor freezes today’s pay chart: ‹new amount› instead of ‹old amount›.” People who may see tailor pay see this.
  • When its pay was already earned, the dialog says “The pay for this Kandura was already earned, so the new tailor earns nothing more. A Kandura is paid once.”
  • When the board is longer than 200 Kanduras, it says “This shows the most urgent Kanduras only. Search or filter to see the rest.”

The Tailoring app must be switched on for your company. These are the standard roles. Your administrator can give a custom role each action separately in Settings › Users & access.

The person who presses the button is the signed-in user. The person who did the work is the one you name in the dialog. Tailors and cutters do not need a login of their own.

  1. You moved a Kandura on too early. There is no Undo. A Kandura only moves forward. The one way back is for a Kandura that is at QC: failing the check returns it to stitching or finishing and keeps a failed check in its history. The pay, if already earned, stays earned.
  2. The wrong tailor has the Kandura. Press Reassign while it is at Stitching and give a reason. Before the pay is earned, today’s pay chart is frozen for the new tailor. After it, the pay is carried unchanged.
  3. The tailor left or was switched off. The stitching dialog offers Give it to another tailor. A tailor who left stays on the Tailors screen, marked Not working now, while they still hold Kanduras.
  4. The wrong pay was frozen. The pay changes only when you give the Kandura to another tailor before it is earned. Ask an administrator to correct the chart first. Once the pay is earned it is final. If the amount you pay has to differ, enter the different amount in the pay run.
  5. The wrong yards or the wrong name was entered. A step cannot be edited. The history keeps what was entered. The yards do not change money or stock.
  6. A Kandura is not needed. Before cutting starts, cancel it or remove it from the order. See Orders. After Start cutting the app refuses. If you do not use cutting, it refuses once a tailor has the Kandura.
  7. A statement was sent by mistake. Press Void statement and give a reason. The statement is kept, marked as voided, and the month can be sent again under a new number. The amounts do not change.
  8. A voided statement was already in a pay run. Voiding posts nothing. Undo the Adjustment in that pay run yourself. See Pay runs.
  9. You do not use a step any more. Switch it off in Setup › Workshop. Kanduras already in it show “No longer used. These move on when worked on.”
  10. Your screen shows an old picture. The app tells you someone moved the Kandura. Reload it and look at where it is now.
