Overview
Overview is the first screen in the side menu. Its heading is “Know how the business is doing”. It shows your sales, costs, profit, cash, what customers owe you and what you owe suppliers. Below that it shows what needs your attention and what was entered last. It only reads your records and posts nothing to your accounts.

Fields
Section titled “Fields”Reporting period
Section titled “Reporting period”The period bar is at the top of the screen. It starts on This month: the 1st of the month up to today. Your company’s own calendar decides what “today” is, not the clock of the computer you are using.
Under the heading the screen says, for example, “Figures for 1 Aug 2026 to 29 Aug 2026. Balances are as of 29 Aug 2026.” A cashier sees “Sales for 1 Aug 2026 to 29 Aug 2026.”
| Field | What it means | What it changes |
|---|---|---|
| Today | Only today | The period is today |
| This month | The 1st of this month up to today | The period runs to today |
| Last month | The whole of the month before | The period is a full month |
| This quarter | The first day of this calendar quarter up to today | The period runs to today |
| Last quarter | The whole of the quarter before. Quarters are January to March, April to June, July to September and October to December | The period is a full quarter |
| This year | 1 January up to today | The period runs to today |
| Last year | 1 January to 31 December of last year | The period is a full year |
| Custom | Opens two date boxes, From and To | You choose the dates and press Apply period |
| Previous and Next arrows | Appear when the period is one day or one calendar month | Step one day or one month back or forward |
- Press a choice and the screen reads again at once. The choice you pressed is highlighted.
- A quarter, a year or any other dates have no arrows.
- Next is greyed out when the period already reaches today. Nothing later has happened yet.
- Stepping back from This month shows the whole of last month.
- A period can be at most 366 days.
The period decides two kinds of figure.
- For the period. Sales (before tax), Expenses and Net profit add up what happened between From and To.
- As of the end date. Cash & bank, Owed to you and You owe are balances on the To date. Each of these three cards says “as of” with that date. If you choose last month, they show the balances on the last day of last month, not today.
Due today and tomorrow ignores the period. It always uses today and tomorrow.
The cards
Section titled “The cards”You see only the cards your role allows. An administrator sees six, a manager four and a cashier one. A card the role may not see is not drawn. It is never shown as zero.
| Card | What the big number is | The line under it |
|---|---|---|
| Sales (before tax) | Sales in the period, less returns, without VAT | For example “1 sale · 0 returns” |
| Expenses | All costs booked in the period. This includes what the goods you sold cost you (Cost of Goods Sold), not only rent and bills | “Expenses in this period” |
| Net profit | Revenue less expenses for the period | “Revenue less expenses” |
| Cash & bank | Money in your cash and bank accounts on the end date | “Cash ‹amount› · Bank ‹amount›” |
| Owed to you | What customers still owe on posted invoices, on the end date. A customer’s unused advance is not taken off | “‹amount› overdue”, and sometimes “‹amount› more delivered, not yet invoiced” |
| You owe | What you owe suppliers, on the end date. Money you paid a supplier ahead and have not used is not taken off | “‹amount› outstanding · ‹amount› credits” |
All amounts are in your company’s currency with two decimals, for example AED 100.00.
How each figure is worked out
Section titled “How each figure is worked out”Sales (before tax)
- Counted: till bills, back-office invoices, and deliveries. Each counts on its own date. Only posted documents count. A draft, a held bill or a cancelled or deleted document does not.
- A delivery counts on the day it was delivered. The invoice you later make from that delivery is not counted again. A deleted delivery drops out. A delivery recorded before your shop booked sales at delivery was only a stock movement. The invoice made for it counts instead.
- Taken off: till returns, credit notes on invoices, and corrections to deliveries. Each is taken off on its own date.
- If a till return is cancelled, its amount is added back on the day it was cancelled. It does not change the number of returns.
- Not counted: opening balances you entered when you started.
- The number is the document total less its VAT. Discounts are already out of it. VAT is never part of it.
- The number of sales is the number of documents. The number of returns is the number of returns and credit notes.
- A cashier sees only the sales they made. A return counts for the cashier who made the original sale, whoever recorded the return.
Expenses and Net profit
- Both come from your accounts, for entries posted with a date inside the period.
- Expenses is not only your running costs. It adds up every expense account, and that includes Cost of Goods Sold: what the goods you sold cost you. So a shop with good sales shows large Expenses even when it spends little on rent and bills.
- The other expense accounts count too: rent, supplies, Inventory Gain or Loss, Cash Over and Short and Rounding Difference.
- Net profit is revenue less expenses. Revenue is every income account, such as Sales Revenue and Service Revenue, less Sales Returns and Allowances.
- VAT is not income and not an expense, so it is in neither number.
- This is the same rule as the Profit and loss in Financial statements.
- Sales (before tax) comes from your sales documents. Net profit comes from your accounts. They answer different questions. You cannot subtract Expenses from Sales (before tax) to reach the profit.
Cash & bank
- Cash is the balance of your cash accounts: Cash on Hand, Petty Cash and the cash account of each till drawer. Bank is the balance of your bank accounts. The card shows both and their total.
- Each balance counts every posted entry dated on or before the end date.
- Card money that is not yet paid out to your bank is not in this number. The same is true for money a Pay by link provider holds for you. It joins Bank when you record the payout.
- An account you have archived still counts while it holds a balance.
- A balance below zero is shown as a negative number. It is not hidden.
Owed to you
- It is the unpaid part of every posted customer invoice on the end date. This includes invoices from the till put on account and the opening balances you entered.
- The unpaid part is the invoice total less credit notes, less payments and advances applied to it, all dated on or before the end date.
- Money a customer paid in advance and has not used yet is not taken off. It stays under Customer Deposits.
- So this card can be higher than the Owed to you column on the report Customers who owe you, which does take the advance off. Customer and supplier reports shows how each report treats advances. Customer dues by age works like this card.
- “Overdue” is the part of an open invoice whose due date is before the end date. An invoice due on the end date is not overdue yet.
- If a post-dated cheque is planned against an invoice, the part the cheque covers is due on the cheque date, and the rest is due on the invoice’s own due date. If the cheque date passes and the cheque has not cleared, that part is overdue again. A cheque that is bounced, cancelled or replaced no longer counts.
- Cheque dates are used when the end date is today or later. For an end date in the past, only the invoice’s own due date is used.
- “‹amount› more delivered, not yet invoiced” is the value of delivery notes that have no invoice yet. It is added to nothing: the big number does not include it. It appears only when the amount is not zero. It counts delivery notes dated up to the end date, as they stand now.
You owe
- It is the unpaid part of your supplier bills, credit purchases and supplier opening balances on the end date. Payments, returns and price corrections dated on or before the end date change it.
- Money you paid a supplier ahead and have not yet applied to a bill is not taken off. The report Suppliers you owe does take it off, so the two can differ for that supplier.
- A supplier document that has been paid more than it was worth has a negative balance. These are added up as credits. The big number is “outstanding” less “credits”.
- Overdue works as for customers. A post-dated cheque you issued moves the due date of the part it covers to the cheque date.
Worked example 1: one day. Your shop posts a service invoice of AED 52.50 (50.00 plus 5% VAT), due on 28 Aug. You also record AED 10.00 of office expense paid from Cash on Hand. You choose 28 Aug to 28 Aug.
| Card | Shows | Why |
|---|---|---|
| Sales (before tax) | AED 50.00, “1 sale · 0 returns” | 52.50 less 2.50 VAT |
| Expenses | AED 10.00 | The office expense |
| Net profit | AED 40.00 | 50.00 revenue less 10.00 expense |
| Cash & bank | AED -10.00 | The shop had no cash before the 10.00 was paid |
| Owed to you | AED 52.50, “AED 0.00 overdue” | Due on 28 Aug, so not yet overdue |
Choose 29 Aug to 29 Aug and Owed to you is still AED 52.50, now with “AED 52.50 overdue”. Sales (before tax) is AED 0.00 because nothing was sold that day.
Worked example 2: the end date. A customer invoice of AED 52.50 is dated and due on 25 Aug. On 26 Aug the customer pays AED 30.00 in cash: 20.00 goes to the invoice and 10.00 stays as advance. On 27 Aug you cancel that receipt. You look at 1 Aug up to each day:
| End date | Owed to you | Overdue | Cash |
|---|---|---|---|
| 25 Aug | AED 52.50 | AED 0.00 | AED 0.00 |
| 26 Aug | AED 32.50 | AED 32.50 | AED 30.00 |
| 27 Aug | AED 52.50 | AED 52.50 | AED 0.00 |
The 10.00 advance does not reduce Owed to you on 26 Aug.
Due today and tomorrow
Section titled “Due today and tomorrow”This block sits under the cards. It lists items that fall due today or tomorrow, with the day written out: Due today or Due tomorrow. A small pulsing dot marks the items due today. A line above the list says, for example, “3 items due today, 2 tomorrow”.
| Kind | What it is | When it is listed |
|---|---|---|
| Customer cheque | A post-dated cheque you received | Dated today or tomorrow, status Received or Deposited |
| Supplier cheque | A post-dated cheque you issued | Dated today or tomorrow, status Issued or Presented |
| Customer invoice | An open invoice | The part not covered by a cheque, due today or tomorrow |
| Supplier bill | An open supplier bill or credit purchase | The part not covered by a cheque, due today or tomorrow |
- A bounced, cancelled, replaced, reversed or cleared cheque is not listed.
- An invoice or bill fully covered by a cheque dated tomorrow appears once, as the cheque.
- A cheque row says which documents it pays, for example “· pays INV-1001”.
- A supplier bill with no due date never appears.
- Overdue items are not repeated here. They are under Needs attention.
- The list shows the first 50 items. The line above it then adds “Showing the first 50.”
- The block is hidden when nothing is due. It is also hidden for people who hold none of the three rights behind it. Each kind of row needs its own right: cheque due dates for cheques, overdue customers for invoices, and overdue suppliers for bills.
- It refreshes when you open the screen, every five minutes, and when you return to the window.
Needs attention
Section titled “Needs attention”Only groups that have something in them are shown. Each group shows a count, three rows and, if there are more, “+‹n› more”. The Review button opens the matching report for the same dates. You see it only if you may open that report.
| Group | It appears when | A row shows |
|---|---|---|
| Low stock | An item with a reorder level is at or below it and still holds stock. An item with a reorder level and no stock anywhere is also listed once | The item, then “‹location›: ‹quantity› ‹unit› on hand; reorder at ‹level›.” The count is of items, not of locations |
| Overdue customer payments | A customer invoice is overdue on the end date | “‹invoice number› · ‹customer›”, then “Due ‹date› · ‹overdue amount›”. The total says “‹amount› overdue” |
| Overdue supplier payments | A supplier bill is overdue on the end date | The same, with the supplier |
| Books check | An account total does not match the list of documents behind it | The name of the check, “Does not match the books · Difference ‹amount›” |
| VAT return | The next VAT return is due within 14 days, or is overdue | When it is due and for which dates. See VAT |
- An overdue invoice or bill is counted once, however many parts of it are overdue. The amount shown is its overdue part.
- The three rows are the ones that have been overdue longest.
- When nothing needs attention, the block says Nothing needs attention: no low-stock, overdue-balance or books-check alerts as of ‹date›.
Books check. Your accounts and the lists of documents behind them should always agree. Each line below compares the two and shows only a difference.
| Check | What is compared |
|---|---|
| Customer balances | The Accounts Receivable account against the unpaid customer invoices |
| Customer advances | The Customer Deposits account against the unused customer advances |
| Supplier balances | The Accounts Payable account against the unpaid supplier documents |
| Stock value | The Inventory account against the value of your stock |
| Delivered, not yet invoiced | The Unbilled Receivables account against the delivery notes with no invoice. Not checked for an end date in the past |
| Trial balance | Total debits against total credits. Shown only to people who can see Expenses and Net profit, so to administrators in the standard roles |
VAT return. The reminder shows only for a company registered for VAT that has already filed one return. The next return has the same length as the last one filed. It is due on the 28th of the month after it ends. If you have already started a later return, its own due date is used. The reminder counts from the real today, not from the end date you chose. The return itself is under Detailed Reports › Tax › VAT return; see VAT.
- More than 14 days away: a quiet line, such as “Next VAT return due 28 Oct 2026.” with the dates it covers. It does not count as something that needs attention.
- Within 14 days, including the due day: a VAT return group marked Due soon.
- After the due date: the group is marked Overdue and says “VAT return overdue: it was due ‹date›, ‹n› days ago.”
Recent business activity
Section titled “Recent business activity”The latest 8 entries dated inside the period, newest entered first. Each row shows what it was, the document number, the date, and who entered it.

- Opening customer balances and opening customer deposits are left out.
- A manager does not see manual accounting entries, payroll, opening entries or VAT return entries. Only an administrator, or a role allowed to read every account, sees those.
- A cashier sees only their own till sales, returns of their own sales, and their own till invoices. The name of the person is not shown to a cashier.
- With no entries, the block says No activity in this period. Change the period above to look at another date range.

- Figures as of a past date. For an end date in the past, “delivered, not yet invoiced” uses the delivery notes as they stand now. Cheque due dates are not used. The Delivered, not yet invoiced check is skipped.

Fixing a mistake
Section titled “Fixing a mistake”- A figure is not what you expected. Check the period bar first. Sales (before tax), Expenses and Net profit cover the whole period. The three balance cards are on the To date.
- Cash & bank is lower than the money you hold. Card money not yet paid out to your bank is not in it. Record the payout when it arrives.
- Net profit does not equal sales less costs. They come from different records. Expenses also includes the cost of the goods you sold. Open the Profit and loss in Financial statements.
- A customer shows as overdue but has paid. Record the payment with Record customer payment. See Payments received. If the money is a post-dated cheque, record the cheque so the due date moves to the cheque date.
- A supplier shows as overdue but you paid. Record the payment. See Supplier payments.
- A sale is missing from the card. Check its date is inside the period and that it is posted, not a draft.
- A Books check line shows a difference. Press its Review button to see the report. Do not try to fix it from here. Ask your accountant.
- A cheque shows under Due today and tomorrow but is not due. Open it from its number and check its date and status in Cheques.
