Quotations
A quotation is a priced offer to a customer. Saving, issuing, editing or printing it posts nothing to your accounts and moves no stock. Your accounts change only later, when you post an invoice made from the quotation, or deliver a sales order made from it.

What it’s for

- When the customer accepts, press Create sales order to deliver in parts, or Create invoice to invoice at once.
- You can quote stock items and bundles. You cannot quote a service.
- A quotation does not reserve stock. The stock must be there on the day you deliver or invoice.

Fulfilled means every quantity has been converted. The small v1, v2 beside the title counts how many times the quotation has been saved, issued, edited, cancelled or used for a conversion.
What gets posted
Section titled “What gets posted”Nothing. A quotation has no debit or credit lines of its own, and it never touches stock, VAT or customer balances.
What each conversion does:
- Create sales order makes a new issued sales order. No stock moves and no entry is posted. See Sales orders.
- Create invoice makes a draft invoice. Nothing is posted and no stock moves until you post that invoice. The entry is the one on the Invoices page.
What is copied
Section titled “What is copied”| Sales order made from a quotation | Draft invoice made from a quotation | |
|---|---|---|
| Customer, stock location | Copied | Copied |
| Items and quantities | The ones you choose, up to what is left | The ones you choose, up to what is left |
| Prices and discounts | As quoted | As quoted. You are not asked for a price |
| Item description | Copied | Copied, if you typed one |
| Notes and terms | Copied | Not copied |
| Reference | The one you type on the form. The quotation’s own is not copied | The quotation’s reference, or its number if it has none |
| Date | The conversion date you choose | The invoice date you choose |
A sales order made from a quotation has no expected date. A draft invoice gets a due date of the invoice date plus the customer’s payment terms.
What can still change
Section titled “What can still change”- Quantities left. A quotation can be converted in parts. The quantity left on a line is what was quoted, less everything converted.
- The draft invoice. You can lower a quantity or remove an item. Do not change a price, a discount, the customer or the stock location. The invoice would not post.
- Draft invoices. A draft invoice does not use up the quotation. The quantities come off only when you post the invoice. If something else uses up the quantity first, the app refuses to post the draft invoice.
- VAT. The invoice charges the VAT of its own date. It can differ from the estimate on the quotation if your VAT registration changed in between. Creating a sales order does not charge VAT. That happens when you later deliver or invoice.
- After posting. The invoice keeps its items and prices as quoted. You can change only its due date, reference and note. See Invoices.

Section titled “Where it shows up”| Place | What changes |

What the printout shows
Section titled “What the printout shows”Print… opens a preview you can print on A4 or A5 paper.
