Day book and daily reports
This page covers the Detailed Reports screens that show what has already happened. They are Daily operations, the Day book, the Daily report, Register closes and the Audit Log. It also covers three lists of things that need attention: Low stock, Overdue customers and Overdue suppliers. They only read your books. None of them posts anything to your accounts.

What it’s for
Section titled “What it’s for”| You want to know | Open | What you get |
|---|---|---|
| What was sold and returned, and how it was paid | Daily operations | Sales, returns and credit notes by date, seller, register and way of paying, with totals |
| Exactly what was posted, entry by entry, between two dates | Day book | Every posted entry with its type, document, party, user, amount and cash or bank movement, plus totals |
| What was sold, collected and paid out on a day, and how it was paid | Daily report | One line per kind of document, with Cash, Card, Bank transfer, Cheque and On account columns |
| How each till shift closed, and whether the cash was right | Register closes | One line per closed shift: expected cash, counted cash, difference, and the documents behind it |
| Who did what, and when | Audit Log | A list of recorded actions by staff, newest first |
| What needs follow-up today | Low stock, Overdue customers, Overdue suppliers | The lines that need attention, with a link to each one |
All of these are read-only. To correct something you find, open the document and fix it there. See Journals for the entries behind a document and Opening and closing for registers.
Fields
Section titled “Fields”Choosing the report and the dates
Section titled “Choosing the report and the dates”Every screen on this page sits in the Detailed Reports frame.
- Change report opens a searchable list. Daily operations, Day book, Daily report and Register closes are under Operations. Daily operations is the report that opens first. Low stock is under Inventory, Overdue customers under Customers, Overdue suppliers under Suppliers, and Audit Log under Accounting. You only see the reports your role may open.
- The period buttons are Today, This month, Last month, This quarter, Last quarter, This year, Last year and Custom. Custom shows From and To boxes and the Apply period button. A range can be up to 366 days. The Daily report shows at most 31 days.
- Low stock, Overdue customers and Overdue suppliers are positions on one day. They show one As of date with Apply and Today instead of a range.
- When you choose the Daily report from another report, it opens on today. The other reports keep the period you were already using.
Stepping through days and months. Next to the period buttons there are two arrows.
- For one day, they are Previous day and Next day.
- For a whole calendar month, or this month so far, they are Previous month and Next month.
- For any other span, such as a quarter or a year, there are no arrows.
- Next is greyed out when the range reaches today, because nothing later has happened yet. Today is your company’s day, not the day on the computer.
- Stepping keeps your other filters.
Day book
Section titled “Day book”The filters sit in one row under the period.
| Field | What it means | What it changes |
|---|---|---|
| POS sales | Each receipt or One line per shift. The screen starts on One line per shift | With One line per shift, all the till bills and returns of one register shift on one date are folded into a single line. The totals are the same either way |
| Types | Shows “Types: all”, or “Types: 3 chosen”. Opens a list of kinds of entry in groups: Sales, Purchases, Banking, Inventory, Accounting | Lists only the chosen kinds. See the table of types below |
| Payment type | Any, Cash, Card, Bank transfer, Pay by link or On account. Pay by link appears only if you have a Pay by link provider | Lists the entries whose document was recorded with that way of paying. On account also finds documents that are still unpaid |
| Provider | Appears when Payment type is Pay by link. All providers or one provider | Lists only that provider’s entries |
| User | Managers and admins. The person who entered the entry | Lists only entries entered by that person |
| Location | Managers and admins. A stock location | Lists only entries of that location. Entries without a location are hidden |
| More filters | Managers and admins. Shows the number of filters in use, such as “More filters (2)”. Opens by itself when one is in use | Shows Account, Party type and the customer or supplier choice |
| Account | Under More filters. Any account, searchable by name or code | Lists only entries that touch that account, and adds the account’s own debit and credit |
| Party type | Customer or Supplier | Shows a searchable Customer or Supplier box |
| Customer or Supplier | Under More filters | Lists only entries for that one party |
| Clear filters | Always available | Removes every choice except POS sales |
The page remembers your filters in its address, so a link or a reload shows the same view. A new filter starts again at the first page.
Notes above the list. The screen says once, in plain words, what your choices and your role leave out:
- Your role does not see manual accounting entries, opening balances, payroll or VAT return entries, so they are not in these rows or totals. A manager sees this.
- Entries without a location are hidden.
- Showing the receipts of one open register shift.
- With a Payment type: the entries are chosen by their recorded way of paying, including unpaid documents under On account. Sales and entry totals use the full value of each matching entry, not the part paid in that way. A split sale can appear under more than one payment type.
Totals. The strip above the list covers every matching entry, not only the page on screen.
| Total | What it adds up |
|---|---|
| Entries | The number of posted entries |
| Sales | Income booked by the entries: credits to income accounts, less debits. Returns and credit notes reduce it. VAT is not in it |
| Purchases | The cost booked by purchases, goods receipts, supplier bills, price corrections and purchase returns. Paid expenses and manual journals are not purchases |
| Cash/bank in | Money that went into your cash accounts (Cash on Hand, Petty Cash and each till drawer) and bank accounts. The cancelling of a payment counts here as money in |
| Cash/bank out | Money that came out of those accounts. The cancelling of a receipt counts here as money out |
| Net cash/bank | Cash/bank in less Cash/bank out |
| Account debits, Account credits, Account net change | Only with an Account filter. The account’s own debits and credits. The net change is written with its side, for example “AED 39,600.00 Cr” |
| Entries total | The debit side of all the entries added together. It always equals the credit side |
A transfer between two of your own cash or bank accounts is listed, but it adds nothing to Cash/bank in or Cash/bank out. With a Payment type chosen, Sales and Entries total are renamed “Sales from matching entries (full value)” and “Matching entries total (full value)”.
The Cash flow report in Financial statements reads the same money, but it treats a cancelled entry differently. See Why the Day book and the Cash flow can differ.
Totals by type is a closed section under the strip. Open it to see how many entries of each type there are and what they add up to. Correcting entries, cancelled payroll, returns, credit notes and cancelled cash counts count as negative.
Columns of the list. Oldest first: by the entry’s date, then by the time it was posted.
| Column | What it shows |
|---|---|
| Date and time | The row number, the entry’s own date, and the time it was posted. An open register shift shows “Open” |
| Type | The kind of entry. Badges follow it: Back-dated for a till sale entered for an earlier day, and Corrected for an entry that was cancelled by a later correcting entry, or that cancels an earlier one. The badge links to the other entry when it is on the same page. A shift line adds “‹n› receipts · ‹n› returns” |
| Document | The document number. It opens the document, or the journal entry when the document has no screen of its own. A closed register shift opens its close in Register closes. An open shift lists its receipts |
| Party | The customer or supplier |
| Location / user | The stock location, and under it the person who entered the entry |
| Description | What the entry is for |
| Amount | The size of the entry. Returns, credit notes, cancellations and other reversing entries show with a minus. With a Payment type it is called Full entry amount |
| Cash/bank in and Cash/bank out | Only the movement in cash and bank accounts |
| Account debit and Account credit | Only with an Account filter. Blank on the side that did not move |
The list shows 25 lines a page. You can choose 10, 25, 50 or 100 under Rows per page. The line under the list says, for example, “Showing 1–25 of 134 lines”.
What each type means
Section titled “What each type means”Every entry has a type. A type is a plain name for the kind of document or event behind the entry.
Sales
| Type | What it is |
|---|---|
| POS sale | A bill made at the till |
| POS return | Goods returned at the till, and the refund. Shows as a minus. A return that was cancelled shows as “POS return cancelled” and puts the sale back |
| Sales invoice | An invoice from the back office, or one made from a delivery |
| Credit note | A credit note to a customer. Shows as a minus |
| Delivery | Goods delivered to a customer before they are invoiced |
| Delivery correction | A delivery that was returned or cancelled. Shows as a minus |
| Customer receipt | Money received from a customer |
| Receipt reversal | A customer receipt that was cancelled. Shows as a minus |
| Customer advance | A customer’s advance used against an invoice, taken off an invoice again, or paid back to the customer |
Purchases
| Type | What it is |
|---|---|
| Purchase | A stock purchase |
| Purchase price correction | A correction of a purchase price or discount after the stock has moved. It is dated the day it was saved |
| Purchase return and Purchase return reversal | Goods sent back to a supplier, and the cancelling of that return |
| Goods receipt and Goods receipt reversal | Stock received before the supplier’s bill, and the cancelling of that receipt |
| Supplier bill and Supplier bill reversal | A supplier’s bill, and the cancelling of it |
| Supplier payment and Supplier payment reversal | Money paid to a supplier, and the cancelling of that payment |
| Discount received | A discount agreed with a supplier when you pay them |
| Supplier advance | Money paid to a supplier before their bill, and its use or refund |
Banking
| Type | What it is |
|---|---|
| Expense and Expense reversal | A paid expense, and the cancelling of it |
| Transfer | Money moved between your own accounts, including till drawer moves and card or Pay by link payouts |
| Money in or out | Money in or out of a bank or cash account with no other document, such as owner money, bank charges, interest and loans |
| Cash count | A cash count, and the differences found at a register: the opening difference, the close difference, and corrections to a closed count |
| POS cash in / out | Cash put into or taken out of a till drawer |
| Cash classification | The office sorting till cash that was not yet explained |
| Payroll and Payroll void | Salary runs, salary payments and staff advances, and the cancelling of a run. A payroll void shows as a minus with a warning badge |
| VAT paid to the FTA and VAT refunded by the FTA | A payment to the FTA, or a refund from it, on a VAT return. See VAT |
Inventory
| Type | What it is |
|---|---|
| Stock adjustment | Stock found or lost in a count or adjustment |
| Stock transfer | Stock moved between your locations. A move of stock has no accounting entry, so this type normally stays empty |
| Stock document reversal | A stock document that was cancelled |
| Stock owed, Owed stock covered, Owed stock cancelled | Stock sold before it arrived, the arrival that covered it, and the cancelling of the owed entry. These rows also name the sale, invoice or delivery the stock is owed for |
| Bundle stock issued and Bundle stock returned | The stock items a sold bundle took, and the items a returned bundle put back |
Accounting
| Type | What it is |
|---|---|
| Manual journal | A journal typed in by hand, and the cancelling of one |
| Opening balance | The entries that started your books |
| VAT return | A VAT return that was locked, and the cancelling of that. The return itself is under Detailed Reports › Tax. See VAT |
| Other journal | Any entry that does not fit the types above |
Daily operations
Section titled “Daily operations”Daily operations is the report that opens first when you open Detailed Reports. It shows the sales and returns of the dates you chose, and how they were paid. Items sold and Bundle sales, in the same Operations group, need the same right.
It counts till sales, back-office invoices, deliveries, till returns and credit notes, each on its own date. Drafts, cancelled and deleted documents and opening-balance invoices are not in it. It does not show receipts, payments or expenses. For those, use the Daily report.
The only choice is the period, set as in Choosing the report and the dates. The screen starts on This month. If you have used Pay by link, a Show box also appears. It narrows the list to one provider.
Totals. The strip above the report shows four figures. Sales and returns include VAT.
| Total | What it adds up |
|---|---|
| Sales total | Sales, invoices and deliveries |
| Discounts | The discounts given on them |
| Net returns and credit notes | Till returns, credit notes and corrected deliveries. A till return that was cancelled is taken off again |
| Net activity (incl. tax) | Sales total less Net returns and credit notes |
Under the strip there is a tile for each way of paying: Cash, Card, Bank transfer and On account. A tile for each Pay by link provider is added if you have used one. A tile shows Net activity (incl. tax), Sales and Net returns.
Columns of the list. Newest date first.
| Column | What it shows |
|---|---|
| Date | The row number and the date of the sale, invoice or return. A till sale entered later for an earlier day has a Back-dated badge and the day it was entered |
| Seller | The person who made the sale |
| Location / register | The stock location, and the drawer with its shift: “shift still open”, or “shift closed” with the date. Back-office documents show “Back office”. A closed shift has a Shift close link for people who may open Register closes |
| Payment method | Cash, Card, Bank transfer, On account, Pay by link with its provider, or No refund for a return of zero value |
| Documents | “‹n› sale(s) / ‹n› return(s)” |
| Sales, Net returns, Net activity (incl. tax) | The amounts of that row |
A document paid in two ways is split over two rows. So the document counts do not add up, but the amounts do. An invoice paid when it was posted has its paid part under the way of paying, and only the unpaid part under On account. The section How these figures are counted says so.
When nothing matches, the screen says No posted activity in this period.
Print and CSV. Print… opens a landscape print preview with one block for each way of paying, each ending in its total, then the grand total. The print also shows Net output tax. Export CSV downloads sales-‹from›-to-‹to›.csv with one row for each line of the list, and the totals.
Daily report
Section titled “Daily report”The Daily report is one table for a day, or for up to 31 days. It shows everything sold, received and paid out, by how it was paid. The choices sit under the period.
| Field | What it means | What it changes |
|---|---|---|
| Location | All locations or one stock location | Keeps only documents that belong to that location. Most customer receipts, supplier payments and expenses have no location, so they drop out when you choose one |
| Till only | Only what was done at the registers | Keeps only till sales, till returns, collections taken at the till and till cash in and out. Everything done in the back office drops out |
| Count a shift on the day it opened | For shifts that run past midnight | Counts a till document on the day its register shift opened, instead of its own date |
| Show | Summary or Details | Summary has one line per kind of document. Details has one line per document |
Rows. A row appears only when it has at least one document.
| Row | What is in it |
|---|---|
| Till sales | Bills and invoices made at the till, by how they were paid. The part left unpaid is under On account |
| Back-office invoices | Invoices made in the back office. A part paid as the invoice was posted is under its way of paying. The rest is On account |
| Returns and refunds | Till returns by the way they were refunded, and credit notes. Shown as a minus |
| Customer receipts | Money customers paid later: receipts in the office, collections at the till, and cheques received. A payment that belongs to a sale or to an invoice paid when it was posted is not counted again here |
| Supplier payments | Money paid to suppliers, as a minus: payments, payment batches, issued cheques, a purchase paid in full when it was saved (“Purchase, paid now”), and money a supplier gave back on a return (“Supplier refund”, a plus) |
| Expenses | Paid expenses, as a minus. An expense paid from a cash account is in Cash. One paid from a bank account is in Bank transfer |
| Cash in and out | Cash put into or taken out of a till drawer, and money in or out of your accounts such as owner money and bank charges |
Columns. Cash, Card, Bank transfer, Cheque and On account. If the period holds a Pay by link payment, a Pay by link column appears before Total. Then Total and, for sales and returns, Sales value.
- Total adds the columns of the row, including On account. It is not the cash in your drawer.
- Sales value is the total of the sale or return including VAT, however it was paid.
- Money out shows with a minus. The bottom Total adds all the rows, so money out is taken off.
Example. An illustration of one day. Amounts are in AED.
| Row | Documents | Cash | Card | Bank transfer | Cheque | On account | Total | Sales value |
|---|---|---|---|---|---|---|---|---|
| Till sales | 6 | 680.00 | 225.00 | 145.00 | 1,050.00 | 1,050.00 | ||
| Back-office invoices | 2 | 50.00 | 160.00 | 210.00 | 210.00 | |||
| Returns and refunds | 3 | −110.00 | −205.00 | −315.00 | −315.00 | |||
| Customer receipts | 4 | 135.00 | 50.00 | 200.00 | 385.00 | |||
| Supplier payments | 4 | −480.00 | −150.00 | −630.00 | ||||
| Expenses | 2 | −42.00 | −105.00 | −147.00 | ||||
| Cash in and out | 4 | 330.00 | −10.00 | 320.00 | ||||
| Total | 25 | 1,043.00 | 225.00 | −545.00 | 50.00 | 100.00 | 873.00 | 945.00 |
The bottom Sales value adds only sales and returns: 1,050.00 + 210.00 − 315.00 = 945.00.
By provider. If the period holds a Pay by link payment, a By provider table appears. For each provider it shows the number of documents, Sales (money in), Refunds (money paid back, as a minus) and Net. The providers add up to the Pay by link column.
Moves between your accounts. A second table lists money moved between your own accounts. These are transfers between accounts, till drawer moves, card payouts and Pay by link payouts.
- Each line has the time, From, To, Amount and Type (Between accounts, Till drawer, Card payout or Pay by link payout). The date shows too when you look at more than one day.
- Total moved is at the bottom.
- The moves are not added to the report totals, because they only change which account holds the money.
- A payout shows what reached the bank, after the fee.
- At most 500 moves are listed. The total covers all of them.
Add up these rows. Under the table, tick the kinds of document you want to add up. The tiles show the totals by way of paying for only the ticked rows. Till sales, Back-office invoices and Returns and refunds are ticked to start with, which gives the day’s sales. The app remembers your ticks for you, in this browser only.
How to read it is a short list of notes at the bottom of the screen. It repeats the points above and adds what the report leaves out on purpose: cancelled and deleted documents, and opening balances.
Register closes
Section titled “Register closes”Register closes lists the shifts that have been closed, newest first, by the date each shift opened.
| Field | What it means | What it changes |
|---|---|---|
| Register / drawer | All registers or one drawer. Searchable | Lists only that drawer’s shifts |
| Operator | All operators or one person. Searchable | Lists only that person’s shifts |
| Location | All locations or one stock location. Searchable | Lists only that location’s shifts |
| Close evidence | All closed sessions, Cash balanced, With variance, Not counted or Evidence unavailable | Lists only shifts in that state |
The choices in the three searchable boxes come from the closes in the dates you picked. The filters and the close you have open are kept in the page address, so Back from a source document returns to the same place.
Columns of the list. There are 50 closes to a page.
| Column | What it shows |
|---|---|
| Shift opened | The row number and the date the shift opened. Press the date to open the close |
| Register / location | The drawer and its location |
| Operator | Who ran the shift |
| Expected cash | What the drawer should hold at close |
| Counted | The cash counted at close |
| Variance | Counted less expected |
| State | Cash balanced (the difference is zero), Cash variance, Not counted (the close was saved with no count), or Evidence unavailable (an older close with no saved summary). The word is always shown, never colour alone |
A figure the close did not record reads “Not recorded”. It is never shown as zero.
One close. Press a date to open that shift on its own screen. The tabs are:
- Summary: who ran the shift and when it opened and closed. Then every amount the close saved, in three groups: sales and discounts; refunds and customer advances; and the drawer (opening float, cash in and out, expected cash, counted cash, variance). A Pay by link group appears when the shift used it. These amounts are frozen at close. Operator names are current.
- Count corrections: the history of changes to the counted cash. See Opening and closing for how a count is corrected.
- Cash movements: the cash moves posted to the drawer for that shift. See Cash in and out.
- Source documents: the sales, returns, invoices, credit notes and cash transfers behind the close. Opening one only views it. It does not change the frozen totals.
- Print 80 mm: the close slip.
A close with no saved summary has only Summary and Source documents. The other tabs need the saved summary.
Expected cash = opening float + cash sales − cash refunds + cash in − cash out. Variance = counted − expected. Cash received before change is not sales.
Register closes covers whole shifts, including overnight sales. For the sales of a calendar day use the Daily report or the Day book.
Audit Log
Section titled “Audit Log”The Audit Log is a read-only list of actions that staff did in the app. It shows who did what, to which record, and when. It does not show the details of what changed.
| Field | What it means | What it changes |
|---|---|---|
| Search | Up to 100 characters. Matches the action, the record type, the record’s ID and the staff name | Lists only matching events |
| Search activity | Button | Reads the first page again, so newer events are included |
| More filters | Button. Changes to Fewer filters | Shows Exact action and Exact record type |
| Exact action | The action’s short name as the log records it | Lists only that action. It is easier to press an action in the What happened column |
| Exact record type | The record’s short name as the log records it | Lists only that kind of record. It is easier to press a record in the Record column |
| Clear filters | Appears once something is narrowed | Removes the search, the action, the record type and the staff filter |
What narrows the list shows as a chip, such as “Staff: ‹name›”, “Action: ‹action›” or “Record: ‹record›”. The × on a chip takes that filter off.
Columns. There are 50 events to a page, newest first.
| Column | What it shows |
|---|---|
| Recorded | The row number and the date and time, in your company’s time zone |
| Staff | The person. Press the name to show only their events |
| What happened | The action in words, such as “Customer invoice posted”. Press it to show only that action |
| Record | The kind of record. Press it to show only that kind. Under it: Open source document, or “No direct document view for this record.”, and a short ID. Press the ID to copy the whole ID |
The section About this log says: “Recorded through ‹date›. Press Search activity to include newer events. This log is not a database backup or proof that unrecorded actions never occurred.”
Low stock, Overdue customers and Overdue suppliers
Section titled “Low stock, Overdue customers and Overdue suppliers”These three lists show only the lines that need attention on the As of date. Nothing is ordered, sent or paid from them.
| Field | What it means | What it changes |
|---|---|---|
| As of | One day, with Apply and Today | The day the position is read for |
| Filter exceptions | Type a name, document, SKU or location | Keeps only matching lines. The filter is kept in the page address |
The strip shows Matching exceptions and, on the two overdue lists, Outstanding: the total still unpaid on the lines that match your filter.
| List | What is on it | Columns |
|---|---|---|
| Low stock | Products at or below their reorder level. A product is only low if it has a reorder level above zero. A product with a level but no stock anywhere is listed once. See Stock and sales reports for the full rule | Product / SKU, Location, On hand, Reorder level. The product name opens its stock movements |
| Overdue customers | Customer invoices past their due date on the As of date, and the part still unpaid. The report Customer dues by age in Customer and supplier reports ages the same invoices | Name / reference, Due (the due date and how many days overdue), Outstanding. The invoice number opens the invoice. An opening balance opens the customer’s statement |
| Overdue suppliers | Supplier purchases, expense bills and opening balances past their due date, and the part still unpaid | The same columns. The document opens it. An opening balance opens the supplier’s statement |
A part of a document covered by a cheque is its own line, marked “· cheque ‹number›”. The lists show 8 lines a page. You can choose 8, 25 or 50.
Buttons
Section titled “Buttons”People only see the buttons their role allows. Print… and Export CSV appear only for people who may print or export reports.

| Search activity, More filters or Fewer filters, Clear filters | Audit Log | See the Audit Log fields above | No change |
What gets printed and exported.
- Day book. Print and CSV cover every matching row, not just the page on screen.
- The print has a heading with the range and your filters, and the name of the person printing. Each entry is a heading line with its figures beneath, and a total row ends it.
- The CSV has one flat row per entry, with separate Time and User columns, and a totals section after the rows. It is named day-book-‹from›-‹to›.csv.
- Print is limited to 5,000 rows. CSV is not.
- Daily report. Print and CSV carry the same table as the screen, the filters in force, the By provider and Moves tables, and the notes. The CSV is named daily-report-‹from›-to-‹to›-‹view›.csv.
- Register closes. Print and CSV cover the page on screen.
- Audit Log. There is no print or CSV.
What gets posted
Section titled “What gets posted”Nothing. These screens never write to your accounts or change a document. Searching, filtering, stepping through dates, printing and exporting change nothing.
What they read:
| Screen | Reads |
|---|---|
| Daily operations | The posted sales, invoices, deliveries, returns and credit notes of the dates you chose, each in the way it was paid |
| Day book | The posted journal entries of the dates you chose. Draft documents are not posted, so they are not in it |
| Daily report | The posted documents themselves (sales, invoices, receipts, payments, expenses, cash moves), each in the way it was paid |
| Register closes | The summary saved when each shift was closed |
| Audit Log | The record of staff actions |
| Low stock and the overdue lists | Stock on hand and the open balances of customers and suppliers |
Two tabs inside a close lead to screens that do post: Count corrections (changing the counted cash of a closed shift) and Cash movements. They are covered in Opening and closing and Cash in and out.
Why the Daily report and the Day book can differ
Section titled “Why the Daily report and the Day book can differ”They read the same books but answer different questions.
- The Day book shows a cancelled document and its correcting entry as two lines. One adds money and the other takes it away, so the net is zero. The Daily report leaves out cancelled, reversed and deleted documents altogether.
- The Daily report counts a card sale and a cheque on the day it was taken. The Day book counts Cash/bank in only when money reaches a cash or bank account.
- The Daily report is for up to 31 days and is grouped by way of paying. The Day book can cover a year and is grouped by entry.
Why the Day book and the Cash flow can differ
Section titled “Why the Day book and the Cash flow can differ”Both read money in your cash and bank accounts. They treat a cancelled entry differently.
- The Day book lists the original entry and its cancellation as two lines. A cancelled payment shows as money out, and its cancellation as money in. So Cash/bank in and Cash/bank out both include the cancelled amount.
- The Cash flow puts the cancellation on the same line as the entry. The two cancel out, and the line can drop below zero.
- Refunds work the same way. A supplier refund counts as money in on the Day book. On the Cash flow it reduces Supplier payments.
- The money you hold at the end is the same in both.
Where it shows up
Section titled “Where it shows up”| Place | What changes |
|---|---|
| Journals | Nothing. A Day book Document link opens the entry in Journals when the document has no screen of its own |
| Financial statements | Nothing. Sales and Purchases on the Day book come from the same posted entries that the statements are built from. The Cash flow reads the same money but nets cancellations. See above |
| Overview | Nothing. Recent business activity shows the latest entries, and View all opens the Day book |
| Customer and supplier reports and Stock and sales reports | Nothing. They are the other reports in Detailed Reports |
| The document a row links to | Nothing. Opening it only views it |
| Opening and closing | Nothing. A closed shift in the Day book opens its close in Register closes |
What the app blocks
Section titled “What the app blocks”| Situation | What you see |

Notices that do not stop you
Section titled “Notices that do not stop you”- Long lists. The Daily report details list at most 5,000 documents: “Only the first 5,000 documents are listed. The total covers every matching document. Narrow the dates to see them all.” Moves are cut at 500 in the same way.
- What your role leaves out. A manager does not see manual journals, opening balances, payroll (including staff advances) or VAT return, VAT payment and VAT refund entries. The Day book says so above the list. This also applies to the totals.
- Old closes. A close made before breakdowns were saved shows Legacy snapshot: discount, safe-drop and non-cash refund breakdowns were not captured. Missing evidence is not zero.
- Saved Register closes views. A Register closes list you leave open expires after 15 minutes of inactivity or one hour in all. Use Refresh latest to see new closes.

Fixing a mistake
Section titled “Fixing a mistake”These screens cannot be edited. They show what is in your books, so a wrong figure is fixed at its source.
- A figure looks wrong. Press the Document link on its row and correct the document there. Then open the report again. Reports read the books each time you open them or change a filter.
- A document is missing. Check that the dates include the document’s own date, not the day it was typed in. Check Types, Payment type, Location and the Daily report’s Till only. Remember that a manager does not see some entries, and that a Daily report leaves out cancelled documents.
- A cancelled document still shows in the Day book. Both the original and its correcting entry are listed, with the Corrected badge. They cancel each other out in Sales and Entries total. In Cash/bank in and Cash/bank out each one adds its own side.
- The Daily report and the Day book do not match. See the reasons under “Why the Daily report and the Day book can differ”.
- A shift’s cash is wrong. Open the close in Register closes. If the count was wrong, use the Count corrections tab. See Opening and closing.
- You need to know who changed something. Search the Audit Log by the staff name or the action, then open the record from its row.
- An item is low or overdue. Act in the screen it links to: stock, the invoice or the supplier document. Nothing is sent or paid from the list.
