Sales history
Sales history lists your till bills and your invoices together, newest first. Use it to find a bill, open it, and start a correction. The list itself posts nothing to your accounts. Each action opens the screen that does.
- Where
- Sales › Sales history (the first tab of Sales)
- Number
- None. Each bill keeps its own number
- Posts to
- Nothing on this screen. The actions open screens that post
- Who
- Managers and admins
What it’s for
Section titled “What it’s for”- See every sale in one place: bills made at the till (POS bills), and invoices made in the back office or issued from the till.
- Find a bill by its number, the customer or a mobile number, then open it with View.
- Start a correction: Edit bill, Return, or Cancel erroneous sale.
- Look up a bill’s Warranty, or print a Delivery note for it.
- Saved invoice drafts are listed here too, with a Draft status. Deliveries are not. Use Deliveries for those.
- Returns and credit notes are not rows of their own. They show in the status of the bill they belong to. Open them from Credit notes.
Fields
Section titled “Fields”These are the filters above the list. They change only which bills you see, and they apply as you change them. Press Enter in the search box to search at once.
| Field | What it means | What it changes |
|---|---|---|
| Search | Type a bill number, a customer or a mobile number (up to 120 characters) | Lists only the bills that match |
| Show | All, POS bills or Invoices. Invoices include invoices issued from the till | Lists one kind of bill |
| From | First bill date to show (the bill’s own date) | Lists bills from this day on |
| To | Last bill date to show. It cannot be before From | Lists bills up to this day |
| Previous and Next arrows | They appear once both dates are chosen. See below | Move the dates |
| Clear filters | Greyed out when nothing is filtered | Removes the search, the type and the dates |
The page remembers your filters and page number. When you open a bill and come back, you land on the same list and the same page.
Stepping through days and months
Section titled “Stepping through days and months”- For one day (From and To the same), the arrows are Previous day and Next day.
- For a whole calendar month, or this month so far (the 1st up to today), the arrows are Previous month and Next month. From this month so far, Previous month shows the whole of last month.
- For any other span, such as a quarter or a year, there are no arrows.
- Next is greyed out once the range reaches today, because nothing later has happened yet.
- Stepping keeps your search and the Show choice.
Columns
Section titled “Columns”| Column | What it shows |
|---|---|
| Bill | The row number and the bill number, which opens the bill. Under it: POS bill, Invoice or Invoice from POS |
| Date | The bill date. A till bill also shows the time it was entered |
| Customer | The customer, and their mobile number when there is one. A till bill with no customer shows Walk-in customer |
| Total | The bill total. Under it, how it was paid, such as Cash + Card, or On account while the customer still owes a balance |
| Status | Separate badges. See below |
| Actions | The ⋯ menu of the row |
The list shows 8 bills per page. You can choose 8, 10, 25 or 50. The line under the list says, for example, “Showing 1–8 of 24 bills”.
Statuses you will see:
- Document: Posted, Draft, Held draft, Cancelled draft, and Cancelled. A till bill that was cancelled and put on credit says Cancelled, put on credit and links to the bill that replaced it.
- Payment: Paid, Part paid, Unpaid, Overdue, or Nothing due.
- Returned goods on a till bill: Returned or Part returned.
- Credit notes on an invoice: Fully credited or Part credited. A credit note is never shown as a return of goods or as a refund.
- Money paid back on a till bill: Refunded or Part refunded.
Buttons
Section titled “Buttons”The bill’s number opens it, so View is not in the menu. People only see the actions they may use. An action that cannot be used right now stays in the menu and says why.
| Button | When you see it | What happens | Accounts |
|---|---|---|---|
| View (the bill number) | Every row | Opens the bill with its details. An invoice opens as on Invoices. A till bill opens its own details page, with Back to Sales history. A cancelled sale opens its saved record | No change |
| Edit bill | Posted bill | The app first asks whether the bill can be edited. A till bill, and an invoice issued from the till, open in the register. A back-office invoice opens the invoice editor. If it cannot be edited, a message gives the reason | Restated on its own date |
| Return | Posted bill. Greyed out with “Nothing left to return” when everything is back | Opens a return form for the bill. See below | Posts a return |
| Warranty | Posted bill | Opens the Warranty tab with this bill already chosen | No change |
| Delivery note and Delivery note with prices | Posted bill | Opens the delivery note form. It is a print only. See Deliveries | No change |
| Cancel erroneous sale | Posted bill, admins only. Last in the menu, in red | Opens the bill, where an administrator gives a reason and presses Cancel sale or Keep sale | All effects removed |
| Edit draft | Draft invoice | Opens the draft to change it | No change |
| Cancel draft | Draft invoice | Asks for a reason, then cancels the draft. It stays in the list as Cancelled draft | No change |
| Try again | When the list could not load | Loads the list again | No change |
| Back to POS | Only when you came here from the till | Returns to the till | No change |
A cancelled bill or a cancelled draft has no menu. It stays in the list as a record, and its number stays reserved.
Where Return leads
Section titled “Where Return leads”- A till bill: the return form, with the refund method the bill was paid with. A cash refund needs an open register. A card or bank refund does not.
- An invoice issued from the till: a return form that needs an open register. If none is open you see Open a register in POS to record this return. The original bill stays in Sales history.
- Any other invoice: a credit note form. See Credit notes.
When a return is recorded, the page says “‹number› recorded. The original bill stays in Sales history.” If a paid back-office invoice was returned, it adds how much became customer advance and “No cash was refunded.” The list then reads again, so the status shows what came back.
What gets posted
Section titled “What gets posted”Nothing is posted from this screen. Searching, filtering, stepping through dates and opening a bill change no accounts. What is posted depends on the screen an action leads to:
| Action | Leads to | What that screen posts |
|---|---|---|
| Edit bill on an invoice, Cancel erroneous sale on an invoice, Edit draft | Invoices | See the examples there |
| Return on an invoice | Credit notes | A credit note that reduces income and VAT |
| Return or Cancel erroneous sale on a till bill | The till return form, or the bill’s own page | A return, or the removal of the sale, as that screen shows |
| Delivery note | The delivery note form | Nothing |
An invoice made from a delivery is listed here like any other invoice. To correct one, open it and use Correct this invoice on the invoice. See Deliveries.

Section titled “Notices that do not stop you”- Full list. The list reads at most the latest 100 matches of each kind. When there may be more, you see Showing the latest 100 matches. Narrow the search or dates.
- Missing rights. A custom role that cannot edit or return a posted bill sees a line above the list, such as “You don’t have permission to edit or return a posted bill.”

Section titled “Who can do it”| Action | Admin | Manager | Cashier |
|---|---|---|---|

Fixing a mistake
Section titled “Fixing a mistake”- You cannot find a bill. Clear the filters, then search again by the bill number or the customer’s mobile. Check that From and To include the bill date.
- A draft has the wrong details. Use Edit draft, or Cancel draft. Your accounts are not touched.
- A posted bill has a wrong item, quantity, price, customer or date. Use Edit bill. See Invoices for the rules.
- The customer returns goods. Use Return.
- The sale should never have been recorded. An admin uses Cancel erroneous sale. The number stays, shown as Cancelled. No refund is paid automatically. On an invoice, money already received becomes customer advance. On a till bill, you give back what the customer paid yourself, and the cash is no longer expected in the drawer.
- You need to take payment on an invoice. Sales history does not take payments. Open the invoice, or use Payments received.
- The invoice was made from a delivery. Open it and use Correct this invoice. See Deliveries.
